Privacy Notice
What we do with your details, in the same plain English as the rest of this site. Nobody reads a privacy notice for pleasure, so this one is as short as it can honestly be.
Who this is
Horley Car Recovery is the trading name of HORLEY CAR RECOVERY LTD. The company is the data controller responsible for the personal information described here.
HORLEY CAR RECOVERY LTD is registered in England and Wales. Company number: 17438111. Registered office: 27 High Street, Horley, England, RH6 7BH. This is a correspondence address, not a vehicle collection point.
The people who answer the phone and drive out to jobs are the people your details reach. There is no shop or office to walk into.
For privacy requests or complaints, ring or text 07403 924606 and say it is about your data. That reaches us directly. You can also write to the registered office above.
What we collect, and when
Only what a recovery job actually needs. There is no newsletter, no account to create and no tracking of you around the internet.
- When you ring or text. Your number, your name if you give it, where the vehicle is, what it is, what it is doing and where it needs to go. Your number reaches us anyway, because that is how a phone works.
- Call recordings. Calls to our number are recorded. We use the recordings to check enquiry and quotation details and deal with questions or disputes about the work. Recordings are held by the phone service and accessed by the people who manage enquiries and job records for us.
- The where-am-I button. This one is worth reading properly, and it is covered in its own section below.
- Recovery requests. Pressing Send recovery request shares your vehicle details, rolling status, people count and callback number. It also shares the location description, location method, coordinates and GPS accuracy where available. We keep a request reference, the submission time and source page.
- The quote panel. The transport page shows a call and text panel instead, so you can discuss the collection directly.
- Visit statistics. With your permission, Google Analytics measures page visits and call, text and location-helper button clicks. We send page and button details, not recovery answers, callback numbers, typed locations, coordinates or message text. Google also processes device and network information. A button click does not tell us whether a call was answered, a recovery request received or a job booked.
The where-am-I button
This is the part people ask about, so here is exactly what happens.
If you press it and allow location, your browser works out roughly where you are and hands that to the page. If you type a postcode instead, the page uses that. Either way the matching against roads and junctions happens in the page on your own phone. The site does not send that location to our recovery service until you choose to share it. With analytics consent, the helper-button click can be counted without sending the location it found.
After adding a location, you answer four questions and check your details. They are submitted to us only when you press Send recovery request. Unfinished answers remain in the memory of that page and disappear when it is closed or reloaded. Closing the form within the page keeps the answers so you can return to them. A postcode result is an approximate area centre, not the exact vehicle position.
If you accept analytics, we count location-helper and text-button clicks. We do not send the location it found to Google Analytics.
Why we are allowed to hold it
We use job information to arrange and deliver the service, keep necessary records and meet legal obligations. Optional analytics runs only with your consent.
- To arrange and do the job. We use your details to take steps you request before booking and to perform the recovery contract.
- To keep accurate records. Our legitimate interests are checking quotations and work done, resolving disputes and preventing misuse. This includes call recordings. We also keep accounting records to meet legal obligations.
We do not sell your details. We do not pass them to marketing lists. We will not ring you later trying to sell you something.
Who else sees it
Only the people a job needs, and only the part they need.
- The garage, body shop or address you asked us to deliver to, so they know a vehicle is coming.
- The people who run the phone, the website and the job records for us, to provide those services.
- Netlify hosts the website and privately stores accepted recovery requests. FK Growth operates the website for us. GoHighLevel / LeadConnector and its SMS delivery providers carry alerts containing the request details to our two agreed operators. We do not send an automatic text to the customer.
- Anyone the law obliges us to tell, such as the police after an incident.
These services can process information outside the UK. Netlify's data-processing terms and HighLevel's data-processing terms explain their international-transfer safeguards, including contractual protections for UK data. Contact us using the details above if you want information about the safeguards for your data.
Your own insurer or breakdown provider may be paying for the recovery. If so, they see the job details as part of that claim. They are the ones being billed.
To prevent spam and unexpected messaging charges, we use short-lived limits based on a keyed hash of the network address. We keep delivery status separately for each operator and retry alerts where it is safe to do so. There is no public page exposing request details.
How long we keep it
Job records are kept for six years to support accounting and deal with questions or disputes. Tax-record requirements depend on the type of record and its accounting period. They do not mean every location detail or message must be kept for six years.
Our retention policy is one year for enquiries that do not become jobs, and 12 months for call recordings and transcripts. FK Growth is responsible for reviewing and deleting these records for us, including arranging removal of the relevant copies on operators' phones. This is separate from the website's automatic cleanup.
Daily cleanup removes the website copy of a recovery request and its alert history once they are over 30 days old. Short-lived abuse-limit records are removed once over three days old. Allow until the next daily cleanup for removal. A reference without the request details is then kept for another 30 days to prevent old retries from creating another enquiry. This cleanup does not delete separate job records, call recordings or SMS copies held by the phone service and operators. Those need their own retention and deletion process.
Google Analytics user and event data retention is set to two months. Aggregated reports can remain longer. Advertising personalisation and Google signals are disabled.
Cookies
Google Analytics loads only after you select Accept analytics. Reject analytics leaves the service buttons and location helper available. A first-party hcr_analytics_consent cookie remembers your choice for 180 days. If accepted, Google uses _ga cookies to distinguish visits, also configured for 180 days. Use Analytics settings in the footer to change your choice. Rejecting after acceptance stops measurement, clears this site’s Google Analytics cookies and reloads the page. It does not erase data already sent to Google. Google’s privacy policy explains its processing.
What you can ask for
Read how Google uses information from sites that use its services for more about analytics processing.
You can ask what we hold about you and we have to tell you. You can ask us to correct it if it is wrong. You can ask us to delete it once the reasons above no longer apply. Ring or text the number on this site and say what you want.
Depending on the circumstances, you can ask us to restrict processing or object to use based on legitimate interests. You may also have a right to a portable copy of information you gave us. You can withdraw analytics consent through Analytics settings at any time. This does not affect processing that was lawful before withdrawal.
If you think we have handled your details badly, you can contact us so we can try to put it right. You can also complain to the Information Commissioner's Office at ico.org.uk. You do not need our permission or have to wait for our response to contact the ICO.
Changes to this page
When something on the site changes what we collect, this page changes on the same day. The notice should reflect the service and data handling in use at the time.
